Setouchi Stay (“we”, “us”) handles the personal information of our guests and of those who contact us in accordance with the Act on the Protection of Personal Information of Japan and other applicable laws, based on the policy set out below.
This English text is a reference translation provided for convenience. If there is any discrepancy between this translation and the Japanese original, the Japanese version shall prevail.
1. Information We Collect
We collect the following information.
- Information you enter: name, e-mail address, dates of stay, number of guests (adults, children and infants), selected plan, nationality, composition of your party, age group and gender of the representative guest, number and size of vehicles, paid-parking requests, coupon code, and anything you write in the notes field
- Optional survey response: how you first heard about us (answering is entirely optional)
- Information required by law: the items recorded in the guest register under the Hotel Business Act and the Private Lodging Business Act (address, occupation, nationality, passport number, etc.)
- Information collected automatically: IP address, browser type (user agent), referring URL, parameters attached to advertisements and links (identifiers such as utm_source), the URL of the first page you viewed, and identifiers stored in cookies
2. Cookies and Analytics
Our website uses cookies and an analytics tool in order to understand how visitors reach our site, to measure the effectiveness of our advertising and communications, and to improve our services.
The cookie we set (named ss_attr) stores information about how you arrived at the site: the referring URL, parameters attached to advertisements or links, and the first page you viewed. It is retained for 30 days. We do not store your name, e-mail address or similar identifying details in this cookie.
We also use Google Analytics, provided by Google LLC, to analyse site usage. That tool uses cookies to collect information, which does not identify you personally. Collection and use of such information is governed by the terms published by Google. If you wish to opt out of collection by Google Analytics, please use the browser add-on provided by Google (https://tools.google.com/dlpage/gaoptout ).
You may disable cookies in your browser settings. If you do so, you can still use all functions of this site, including submitting a booking request.
3. Purposes of Use
We use the information we collect only for the following purposes.
- Receiving booking requests and notifying you whether the request is accepted
- Performing the accommodation contract and verifying your identity
- Preparing and retaining the guest register as required by law
- Responding to enquiries
- Contacting you in an emergency
- Understanding how guests find us, measuring the effectiveness of our advertising and communications, and improving our services (this is for statistical analysis; we do not use it to serve advertisements to you individually)
4. Disclosure to Third Parties
We do not disclose personal information to third parties without your consent, except where required by law (for example, enquiries from administrative or police authorities, or compliance with the obligation to present the guest register).
Provision to the service providers listed in the following section does not constitute disclosure to a third party.
5. Service Providers
We use the following external services to the extent necessary to operate our business. We manage them appropriately so that they do not use the information beyond that scope.
- Google LLC (United States) — hosting of our website and booking system (Firebase), site analytics (Google Analytics), and sending and receiving e-mail
- Stripe, Inc. (United States and Ireland) — credit card payment of accommodation charges. We do not hold your card number; it is handled directly by Stripe
- Discord Inc. (United States) and LY Corporation (Japan) — the channels through which booking details are notified to our operators
- Provision to providers located outside Japan constitutes a provision to a third party in a foreign country under the Act on the Protection of Personal Information. For information on the data protection regimes of those countries and the measures each provider takes, please refer to the privacy policies published by each company
6. Retention Periods
The guest register is retained for three years from the date of creation, as required by the Hotel Business Act and the Private Lodging Business Act.
Booking information is retained for the period necessary to perform the accommodation contract and to meet accounting and tax requirements.
Of the information collected automatically under section 1, the information relating to how you reached the site is deleted six months after the booking process is completed or otherwise ends.
7. Security
We take appropriate security measures to prevent unauthorised access to, and the loss, leakage or alteration of, personal information.
8. Access, Correction and Deletion
Where you request disclosure, correction, suspension of use or deletion of your personal information, we will verify your identity and respond without delay in accordance with applicable law. Please contact us using the details in the following section.
